JOB RESPONSIBILITIES: Handle and assist in a variety of administrative and clerical tasks. Duties of the Office Administrative Support include providing support to our managers and employees, assisting in daily office needs and support our company’s general administrative activities.

Essential Functions:
• Support and assist all departments with daily needs.
• Front desk duties, including but not limited to collecting paperwork, scanning and signing up guests
• Coordinate meetings, compiling meeting materials, creating presentations
• Organize and schedule appointments
• Plan meetings and take detailed minutes
• Answer and direct phone calls and emails
• Write and distribute emails, correspondence memos, letters, faxes and forms
• Assist in the preparation of regularly scheduled reports
• Develop and maintain a filing system and record keeping
• Update and maintain office policies and procedures
• Have a keen eye on purchasing to determine the best deal on supplies & vendors
• Maintain contact lists
• Assist and provide general support to visitors/guests
• Act as the point of contact and liaise with both internal and external clients/customers
• Request tracking data entry and maintenance.
• Process ANA/UDI drop shipments (Enter into Quantum and request tracking)
• Follow up on PO’s, drop shipments and removals.
• Creating and closing task cards. Creating SO and invoicing. Creating MSRs, POs, quoting.
• Creating monthly task cards for all departments.
• Other duties as assigned.

• Proficiency in MS Office (MS Excel, MS PowerPoint, MS Word)
• Must be able to type at least 30 WPM
• 0-4 years experience as an administrative assistant, virtual assistant or office admin assistant preferred
• Knowledge of office management systems and procedures
• Working knowledge of office equipment, e.g., printers, fax machines, telephones etc..
• High School Diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary preferred

• Excellent time management skills and the ability to prioritize work
• Attention to detail and problem solving skills
• Ability to work in fast paced environment, able to take and give directions
• Excellent written and verbal communication skills
• Strong organizational skills with the ability to multi-task

Working Conditions: Office/warehouse environment.

The ability to travel as needed 0 - 5%

Ability to read, write, speak and understand English.
